Primary Objective
The Coordinator oversees and organizes many aspects of daily operations for the “Hornet Hub,” a dynamic campus space that serves two important College offices: the Center for International Programs (CIP) and the Center for Career and Professional Development (CCPD). The Hornet Hub Coordinator will take a proactive role in organizing CIP schedules, written communications, and public events. For recent graduates interested in the field of international education, the HH Coordinator offers an opportunity to explore the many facets of international education established at Kalamazoo College and for the right candidate, job experience to build a future career path in the field of higher education and/or international education.
The Coordinator is the first contact for many students and is crucial to establishing a welcoming and supportive atmosphere. The position requires an ability to communicate appropriately, with a positive and helpful service orientation, with students, faculty, staff, parents, alumni and other constituents on a variety of topics related to the CIP/CCPD. The successful candidate should be able to thrive in an active office environment with many interruptions, while also completing ongoing tasks. Student records and much of the information handled by this position is confidential in nature, requiring a high level of tact and discretion.
This position is an hourly, full-time (8-5; M-F) benefits-eligible position. For post-baccalaureate candidates, this will be a two-year position.
Primary Responsibilities
Hornet Hub
- Provide reception coverage for the Hornet Hub, to include answering multi-line phones, scheduling appointments, and assisting walk-in patrons.
- Stay current on the details of CIP and CCPD programs, policies and procedures, in order to accurately provide information and referrals to various stakeholders. Maintain general knowledge about other neighboring offices in order to appropriately direct questions.
- Coordinate and maintain Hornet Hub equipment, supplies, and physical space, including telephones, voice mail, computer hardware, software, and electronic files. Order all supplies for the suite. Collaborate with other neighboring offices to keep kitchen tidy. Submit and track Facilities Management work orders.
- Communicate with students on a daily basis via phone, chat, e-mail and in person concerning campus events, deadlines, and materials due.
CIP-Specific Responsibilities
- Attend all CIP Staff meetings and Operations Team meetings. Maintain notes from these meetings and follow up with team members to ensure completion of action items.
- Follow the quarterly calendar and support CIP campus events, including integrating information from various team members, booking rooms, and preparing campus announcements and reminders.
- Work with the Operations Team to assist the study abroad application, acceptance, and predeparture processes. Communicate proactively with students about requirements. Assist with input, maintenance, and reporting of data in the relevant CIP databases.
- Assemble and distribute required information to Resident Directors and program partners at various international program sites.
- Maintain the CIP general email account. Respond to and direct inquiries from students, families, faculty/staff, program partners, alumni, etc. Receive and organize study abroad forms and materials from students.
- Deliver and Pick CIP mail and packages.
- Taking and/or scheduling passport photos
- Work collaboratively with the CIP Peer Advisors, International Student Peer Mentors, CCPD Staff, Intercultural Center, and other College departments as directed.
- Other duties as specified by the Operations Coordinator, Administrative Manager, or Executive Director.
Qualifications
The successful candidate will have an associate’s degree (bachelor’s degree preferred) and will also demonstrate many of the following skills, abilities, and characteristics:
- For post-baccalaureate candidates, recent Kalamazoo College graduate;
- Valid driver’s license, certification to drive College vehicles, including 12-passenger vans;
- Utmost attention for detail and time management;
- Ability to thrive in a busy atmosphere with multiple interruptions;
- Strong service orientation and excellent communication skills;
- Computer skills, including proficiency with Microsoft Office;
- Aptitude for using and managing information systems; and
- Physical requirements include ability to work in an office environment, with extensive use of computers and telephones; to read, write and handle paper and electronic documents.
