Eligibility

Benefits-eligible FLSA-non-exempt staff members are eligible for this plan. Former employees of the College, who are rehired, are given service credit in full year increments for purposes of vacation. Benefits-eligible part-time employees are eligible for vacation leave time on a pro-rata basis.

Year One: 10 days

Accrual Process

Designated holidays falling within an employee’s requested vacation period will be paid as holiday time. Vacation leave time can be used for compensation during emergency absence from work only after all accrued emergency leave time has been used. Vacation leave time is accrued on all hours up to 40 hours per week for which the employee is paid, including hours worked, holidays, paid break days and emergency hours. Vacation leave time is not accrued on disability pay.

Notice and Scheduling

Employees are required to provide their supervisor with reasonable advance notice and obtain approval prior to using vacation. This allows for the employee and his/ her supervisor to prepare for the time off and assure that all staffing needs are met.

Recording Time

Employees are required to log vacation time in accordance with departmental practices, such as through Web Time Entry or EMMA. Paycheck advices/checks will show the amount of vacation time accrued.

Maximum Time Accumulated

Employees may carry up to 40 unused vacation hours (5 days), over and above the annual maximum. (Example: Annual accrual: 160 hours (20 days), plus 40 hours (5 days) from prior year equals 200 hours (25 days) may be held. This encourages employees to use vacation time and allows the College to manage its financial obligations responsibly. Once the cap is reached, the staff member will not accumulate any more vacation time until some of the time in their account is used and drops below the cap. After the balance goes below the cap, employees will begin accruing vacation again. However, employees will not receive retroactive credit for time worked while at the cap limit.

Separation and Retirement

Employees will be paid for unused vacation when the employee’s appointment reduces to less than half-time, leaves employment, or retires from the College. Employees who resign and fail to give 14 days’ notice will forfeit payment of unused vacation time.

Grandfathered Staff

Benefits-eligible, bi-weekly staff hired before January 1, 1996 are grandfathered into an accrual rate of 25 vacation days per year (0.096/ hr), with a maximum balance of 30 days.
