Position Summary
Reporting to the Associate Vice President for Development, the major and planned gifts coordinator supports the development staff, marketing efforts, and stewardship activities for Kalamazoo College’s development programs. This benefits-eligible position is approximately 24 hours per week.
Responsibilities
- Oversees the tracking and recording of expected and realizing planned gifts and Stetson Society members, ensuring all data and documentation are recorded accurately and with attention to detail and procedures. Works with advancement services as well as prospect development and donor relations to track planned gifts to be included in College campaigns.
- Supports and carries out the strategy for planned giving marketing and communication, manages the production of marketing publications and materials, and evaluates constituents’ responses to gauge future communications.
- Assists with monitoring the planned giving website pages to ensure they meet the branding standards of the College and remain up-to-date with current planned giving content and news.
- Prepares planned giving illustrations, as needed, for development staff.
- Assists other department staff in addressing gift administration questions and providing stewardship to gift annuity and trust donors as needed.
- Acts as primary contact for planned giving vendor relationships, such as gift calculation software companies and marketing firms.
- Generates reports on planned gift activity and Stetson Society membership, and coordinates recognition materials for Stetson Society members.
- Manages the monthly credit card statement and receipt process for development staff.
- Acts as a resource to development staff in their work to cultivate, solicit and steward major gift donors. Coordinates the preparation of reports and collateral materials to share with donors and offers additional support as needed.
- Assists with writing, editing and proofreading various publications produced within the development office.
- Assists with donor proposals and correspondence for development staff.
- Assists the vice president for advancement and the business office by working with an external firm to complete the annual registration to solicit process in all states that require registration by the College, to ensure the College meets gift annuity registration regulations. Maintains records of this process.
- Supports donor event logistics including invitations, RSVPs, and other logistics in collaboration with other departments as needed.
- Answers the College’s main phone line as scheduled and work with advancement teammates to coordinate these responsibilities as necessary.
- Performs other general and specific duties as assigned, consistent with the goals, objectives, and interests of the College and the Division of College Advancement.
Qualifications
The successful candidate will possess many of the following skills, abilities, and characteristics:
- Bachelor’s degree or equivalent experience highly preferred.
- High level of proficiency with the Microsoft Office suite is required, as well as the ability to learn new computer applications including the College’s database, gift planning software, etc.
- Have the ability to plan time effectively and meet deadlines.
- Utilize excellent communication skills including writing, proofreading, and editing.
- Possess the ability to communicate in a professional and effective manner with both internal and external audiences.
- Possess a high level of personal integrity and understanding that professional confidentiality is essential.
- Ability and willingness to work assigned office hours, including flexible scheduling within those hours in regard to the department’s needs; occasional evening and weekend hours are required, including commencement and homecoming events, as assigned.
