Position Summary
The Art and Art History Department and Music Department are seeking an Office Coordinator with excellent communication, organizational, and time management skills. Detail-oriented individuals with the ability to work both independently and collaboratively are encouraged to apply. The successful applicant will have a problem-solving mind-set, creativity, and passion for the arts, students, and learning, as well as a commitment to justice, diversity, equity, and inclusion.
Schedule: 1560 annually (0.75 FTE) – approximately 33 hours/week during academic sessions; approximately 20 hours/week during academic breaks (December, July, August). The hourly pay rate will be determined at the time of offer. The posted pay range is Indeed-calculated.
Responsibilities
Primary responsibilities include fulfilling the role of lead support staff and event coordinator for the Art and Art History and Music Departments.
- Facilitate organized and well-functioning office spaces (maintain office supplies, department records and files, mail)
- Assist department with budget management, justification, and computer/paperwork
- Coordinate department events, job-search and visitor schedules, and off-campus trips for the Art and Art History Department
- Facilitate preparation and purchasing of instructional materials for Art, Art History, and Music faculty
- Maintain gallery and performance space schedules, prepare event promotion materials and communications
- Maintain music practice room access and instrument lockers
- Hire work-study students for Art department including training and supervising assistants for the office and gallery
- Other duties as assigned
Secondary responsibilities include serving as the primary point of contact for users of the Fine Arts Building
- Interface with students, visitors, and renters of the Fine Arts facilities, including room reservations/access, and greeter for some programs and events
- Monitor general use and condition of Fine Arts Building and facilitate work orders for repairs
- Manage shared spaces and communal supplies within building, such as kitchen, gallery, photocopier, and water cooler
Qualifications
The successful candidate will have an associate’s degree (or equivalent) and will also demonstrate many, but necessarily all, of the following skills, abilities, and characteristics. If you think your skillset could contribute to our departmental program, please still apply.
- Minimum of Associates Degree or equivalent, required.
- Experience in studio art, design, and/or arts programming, desirable
- Strong written, verbal, and visual communication skills required, including grammar, spelling, punctuation, proofreading.
- Demonstrated organizational skills and experience in performing numerous concurrent tasks and duties.
- Knowledge of, and experience in, current office procedures, practices, and equipment.
- Proficiency with Microsoft Office, including Word, Excel, and PowerPoint, and ability to organize data and text to specified format, required.
- Proficiency with a variety of computer software including the Microsoft Office Suite, WordPress, and marketing tools such as Canva, Adobe Photoshop, or others, desirable.
- Willingness and ability to learn new software programs, required.
- Ability to work independently and to meet deadlines.
- Willingness to delegate and accept responsibility.
- Intercultural competency and ability to work with a wide range of constituencies.
