Human Resources Coordinator

Kalamazoo College is seeking a highly organized, service-oriented Human Resources Coordinator to support the daily operations of the Human Resources Office. The Human Resources Office supports a vibrant campus community of more than 1,000 individuals throughout the academic year, including over 300 faculty and staff members, more than 200 temporary employees, over 100 retirees, and more than 500 student employees. In addition, HR serves prospective employees and the family members of employees and retirees through a wide range of services, programs, and communications. As the Human Resources Coordinator, you will play an important role in helping this diverse community thrive by providing exceptional customer service and administrative support across key HR functions. In this role, you will

  • Serve as the First Point of Contact for HR
    • Welcome visitors and respond to phone, email, and walk-in inquiries.
    • Provide friendly, accurate, and timely support to employees, retirees, students, and applicants.
  • Support Employment Processes
    • Assist with recruiting, hiring, onboarding, employment changes, and separations.
    • Process employment documentation, including tax forms, I-9s, and E-Verify submissions.
    • Maintain recruitment postings and employment-related communications.
  • Maintain HR Records and Systems
    • Enter and update employee data in HR systems.
    • Generate reports, process employment verifications, and support compliance and recordkeeping.
    • Partner with colleagues to improve HR systems and processes.
  • Support Payroll, Benefits, and Compliance
    • Assist with payroll and employee data updates.
    • Support benefits administration and compliance with institutional, state, and federal requirements.
  • Contribute to HR Operations and Employee Engagement
    • Assist with employee relations activities, communications, and events.
    • Update HR website content and materials.
    • Provide general administrative support and contribute to special projects and department initiatives.

  • Experience working in Human Resources and/or higher education.
  • Familiarity with HRIS platforms such as Ellucian Colleague/Banner, PayCor, or Employee Navigator.
  • Bilingual proficiency (reading, writing, and speaking) in Spanish or French.

Physical Requirements and Working Conditions

  • Anticipated Start Date: Early September 2026
  • Reports to: Associate Vice President for Human Resources
  • Position Type: Hourly, Regular, Benefits-Eligible
  • Schedule: In-person, on-campus, 30 hours per week (beginning and end times negotiable)
  • Compensation: Approximately $22.00 per hour
  • This is an in-person position located on the Kalamazoo College campus.
  • Work is performed primarily in an office setting with extensive computer use.
  • Requires the ability to read, write, process documents, and perform data entry.
  • Occasional lifting of up to 20 pounds may be required.
  • Regular movement between campus buildings may be necessary.
