Position Summary

The Administrative Specialist provides administrative clerical support for the Chief Information Officer (CIO) as well as the entire Information Services division and serves as the central contact and conduit for Library and Technology related purchases, contracts, inventory and budget tracking.

This is a full-time, twelve-month, benefits-eligible position that reports to the Chief Information Officer.

Responsibilities

  • Purchasing – works with Information Services staff to prepare and submit purchase requisitions for library and technology. Track orders and updates appropriate systems to maintain inventories and record-keeping of purchases.
  • Contracts – maintains records and a schedule of Information Services contracts, solicits renewals and works with the CIO and key staff in the department to ensure timely renewal of contracts for materials and services.
  • Budget – works with the CIO and Information Services leadership to monitor budget lines, providing regular reports and ad-hoc analysis using Excel and Informer.
  • Keys – maintains inventory and records of assignment of physical keys for the library.
  • Supplies – maintains supply inventory for various services and personnel.
  • Events – helps coordinate and organize various Information Services events.
  • Maintenance – submit and coordinate facilities-related work-orders for the library.
  • Occasional after-hours or weekend work may be required.
  • Other duties as assigned by the CIO.

Qualifications

The successful candidate will have a high school diploma (or equivalent) and will also demonstrate many of the following skills, abilities, and characteristics:

  • Associate or bachelor’s degree preferred.
  • Five or more years of clerical experience in an office or library setting.
  • Excellent interpersonal communication skills, with a demonstrated ability to handle sensitive situations and information with tact and confidentiality.
  • Strong customer service orientation and organizational skills, with a proven ability to manage multiple responsibilities and maintain a keen attention to detail.
  • Excellent computer skills utilizing Microsoft’s suite of products.
  • Adept at learning and applying new technologies and software quickly.
  • Ability to work both independently and collaboratively in a team environment.
  • Demonstrated flexibility and enthusiasm, with a commitment to consistent attendance and a regular work schedule.
