Position Summary
Primary responsibilities include overseeing the daily operations of the Mail and Copy Center. These operations contain expertise in customer service, inventory management, office administration, and various other daily operating procedures. The Mail and Copy Center Manager reports to the Director of Finance, and will also be responsible for hiring, training, and scheduling of the mail room clerk and student staff.
This position upholds the mission and values established by Kalamazoo College and works closely with all Business Office staff, leadership and all K College personnel on a daily basis. Responsibilities
Daily operations for the Mail Center include
- Oversee all aspects of the Mail Center operations.
- Manage mailroom clerk and student employees, including hiring, training and scheduling.
- Sort and distribute incoming and outgoing mail.
- Process outgoing mail and shipments (USPS, UPS, FedEx, pre-sort).
- Operate a high-volume copy machine and manage copy requests.
These daily operations for the Mail Center and Copy Center include various customer service, inventory management, and general operations tasks.
Customer Service
- Operate cash register, balance daily cash, and processing daily purchase paperwork.
- Assist customers with shipping needs. Including domestic and international shipments.
- Provide high-quality customer service across all channels (phone, email, in-person).
- Assist with copy requests.
Inventory Management
- Ordering, receiving, pricing, and stocking of Mail Center and Copy inventory.
- Maintain and order inventory of paper, stamps, and office supplies.
Operations
- Sort and distribute incoming mail for students, staff, and faculty.
- Provide recording, notification, and distribution of mail center packages.
- Process and ship outgoing mail and packages for student, staff, and faculty using various shipment carriers globally.
- Manages Mail and Copy Center budget.
- Operates and performs routine maintenance of mailing machine and postage meter.
- Operates and maintains Copier.
- Performs finishing/bindery techniques for copy requests.
- Manages student workers, including hiring, scheduling, and training for the mail center.
- Maintains the Mail and Copy Center website.
- Manager communications to campus regarding mail and copy center operations
- Assigns and maintains student mailboxes
- Meet with Director of Finance on regular basis
- Primary contact for Amazon lockers
- Maintain relationships with external vendors for the mailroom
Additional Job Responsibilities

Qualifications
The successful candidate will have a high school diploma (or equivalent) and will also demonstrate many of the following skills, abilities, and characteristics:
- Some college or college degree highly preferred.
- Minimum two years of retail and customer service experience. Previous supervisory experience preferred. Knowledge of postal regulations
- Knowledge of procedures relating to handling and processing postage charges
- Good technical skills, including proficiency in MS Office
- Knowledgeable and strong in oral and written communication.
- Demonstrate leadership and creativity.
- Ability to make decisions, be flexible, and work with a minimum of supervision.
- Ability to maintain accurate records and inventory.
- Demonstrated ability to identify and resolve problems in an effective and timely manner.
- Ability to articulate and demonstrate commitment to the philosophy, values, mission and vision of the organization.
- Ability to interact with co-workers, staff, administration, students, faculty, and all internal and external customers in a professional and effective, courteous and tactful manner, at all times, physically, verbally and in all written and electronic communication.
- Open, honest, and tactful communication skills. Ability to work as a team member in all activities. Positive, cooperative and motivated attitude.
Essential Abilities
These physical requirements are not exhaustive and additional job related physical requirements may be added on an as needed basis. Corrective devices may be used to meet physical requirements.
- Frequently required to stand, kneel and crouch. On a daily basis may be required to move about, sit, climb stairs and bend. Physical requirements include the ability to lift and move 50 lbs. boxes, stock shelves, climb ladders and stand for long periods of time.
- Vision: Requires the ability to perceive the nature of objects by the eye. Near acuity: Clarity of vision at 20 inches or less. Midrange Acuity: Clarity of vision at distances of more than 20 inches and less than 20 feet.
- Motor Coordination: While performing the duties of the job, it is required to regularly perform functions that include using hand and finger movement, handle or feel objects, be able to use tools or equipment that requires reaching with hands and arms. Must be able to travel independently.
- Speaking/Hearing: Ability to give and receive information through speaking and listening.
- Proficiency using modern office, computer and telephone equipment
- Ability to access, create, send and retrieve data from all systems.
- Ability to adapt and maintain focus in fast paced office environment.
- Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, rules and regulations.
- Ability to effectively solve problems.
